Cheap office desks and premium office desks look identical in a catalogue photo: both 1400×700 mm, both in three colours. Yet the factory price can differ almost threefold — roughly Rp 1.2 million for the economy tier up to Rp 3.2 million for premium. The gap is not branding. It comes from six technical components you can check before paying a deposit. This guide compares the three tiers and shows when paying more actually pays off.
Short answer: six components set the price
Factory price is driven by board thickness, surface finish, edge banding quality, steel frame gauge, drawer mechanisms and cable accessories. The same 1400×700 mm footprint with different components gives a very different price and service life. The benchmark we use when comparing quotations:
| Component | Economy | Mid-range | Premium |
|---|---|---|---|
| Particle board | 15 mm, E1 | 18 mm, E1 | 25 mm top, E0/E1 |
| Finish | Single-layer melamine | 0.6 mm HPL | 0.8 mm HPL or veneer |
| Edge banding | 0.6 mm PVC | 1 mm PVC | 2 mm PVC, hot-melt glue |
| Steel frame | 1.0 mm, powder coat | 1.2 mm, powder coating | 1.5 mm, full weld |
| Drawers | Roller runners, 2 drawers | Ball bearing, lock | Ball bearing soft-close, central lock |
| Accessories | — | Cable grommet | Cable tray, socket, grommet |
| Factory price, 1400×700 mm | Rp 1.2–1.5 million | Rp 1.6–2.2 million | Rp 2.4–3.2 million |
| Realistic service life | 3–5 years | 5–8 years | 8–12 years |
Figures are indicative factory prices for container orders; final pricing depends on specification, volume and colour. Category ranges are in our 2026 office desk price guide.
The six components, one by one
1. Board thickness: 15, 18 or 25 mm
A 15 mm top is fine on a 1200 mm desk with light loads, but it bows beyond 1400 mm. 18 mm is the safe standard for staff desks and workstations; 25 mm is used on long meeting tables and executive desks. Moving from 15 to 18 mm adds about 6–10% to the unit price — the cheapest upgrade with the most noticeable effect.
2. Finish: melamine, HPL or veneer
Melamine is the cheapest and scratches most easily. 0.6–0.8 mm HPL resists scratches and does not absorb water, which makes it the safer choice for humid climates such as Jakarta, Surabaya and Balikpapan. Veneer gives a real-wood look for director rooms at 20–35% above HPL.
3. Edge banding: the most common failure point
A 0.6 mm PVC edge lifts after two to three years of heavy use, and the exposed core absorbs moisture. 1 mm is the office standard; 2 mm is for desks that are moved often. On a sample, the edge must sit without gaps and match the surface colour.
4. Steel frame: 1.0 to 1.5 mm
1.0 mm suits staff desks up to 60–80 kg, 1.2 mm suits workstations and meeting tables, and 1.5 mm is used for large executive desks and teller counters. The price difference is about 5–8% per unit.
5. Drawer runners and hinges
Cheap roller runners rattle, jam and tilt over time. Three-section ball-bearing runners last around 50,000 cycles, and soft-close stops drawers from slamming. For document storage, insist on a central lock rather than one lock per drawer.
6. Cable accessories
Grommets, cable trays and sockets decide how tidy an open office looks. Without a cable tray, cables hang under the desk and wear out connectors faster. The upgrade costs 2–3% but cuts installation time and post-move complaints.
Upgrade cost versus benefit
| Upgrade | Extra cost | Effect | Worth it for |
|---|---|---|---|
| 15 mm → 18 mm board | +6–10% | No sag across a 1400 mm span | All staff desks and workstations |
| Melamine → HPL | +12–18% | Scratch and water resistant | Heavy use, meeting rooms |
| 0.6 mm → 1 mm edge | +3–5% | Edge no longer peels | Every desk |
| 1.0 mm → 1.2 mm frame | +5–8% | Load rises from 80 kg to 120 kg | Workstations, meeting tables |
| Roller → ball-bearing runners | +4–6% | 50,000 cycles, drawers stay aligned | Manager and senior staff desks |
| Cable tray and socket | +2–3% | Tidy, safe, easier to maintain | Open office, call centres |
When requesting quotations, ask for two scenarios — standard specification and upgraded — so the rupiah difference is visible immediately.
When the economy tier is enough
- Training and multi-purpose rooms: used a few hours a week and rearranged often.
- Project or temporary offices: planned service life under three years.
- Back office under eight hours a day: one monitor, no extra equipment.
When premium costs less overall
- Director and executive meeting rooms: the desk is part of the corporate image and is rarely replaced.
- Bank branches, government counters and showrooms: 0.8 mm HPL and 2 mm edges keep their appearance after years of public use.
- High-turnover offices: an 18 mm desk survives several occupants, lowering cost per year of use.
How to check quality before the purchase order
- Ask for board and edge cut samples. A serious factory can send a 10×10 cm piece with the same HPL and edge as production.
- Do the ten-minute water test. HPL and a tight edge do not absorb; an unsealed core swells.
- Compare weight per unit. An 18 mm top with a 1.2 mm frame usually weighs 4–7 kg more than the 15 mm version.
- Test the mechanism. Open a drawer ten times and push the desk at the corners; joints must stay silent.
- Request QC and loading videos. Footage before the container is sealed shows what is actually shipped.
Four expensive mistakes
- Comparing unit price without freight. A thicker desk takes more volume; compare landed cost per unit, not FOB alone — see the landed cost guide.
- Leaving board thickness out of the PO. Without the number on the document, a supplier may ship 15 mm even if the negotiation mentioned 18 mm.
- Custom colour without a physical sample. Screen colour always differs; approve a sample before mass production.
- Ignoring edge banding. The edge is the first part to fail and the most visible to users.
FAQ
What does a premium office desk cost from a Chinese factory?
A premium 1400×700 mm staff desk is Rp 2.4–3.2 million per unit, while an L-shape executive desk starts at Rp 4.5 million. Prices are FOB factory, excluding freight and import duty.
Can an economy desk last five years?
Yes, with normal eight-hour use and loads under 40 kg. For shift work or meeting rooms, specify an 18 mm top with HPL finish.
Can economy and premium tiers share one container?
Yes. MOQ is 5–10 pcs per model, loaded as a mixed container of 20ft (26–29 CBM) or 40HQ (64–68 CBM). Production takes 25–35 days after deposit, plus 7–14 days of sea freight to Jakarta or Surabaya.
Is private-label OEM available?
Yes. OEM/ODM covers colour, size, surface logo, packaging label and board specification; for tenders we attach spec sheets and a manufacturer support letter.
